How to Import Forms
Learn how to import hundreds or thousands of forms at once using our Excel-based bulk import feature. Follow our simple step-by-step guide to efficiently manage large form submissions.

Import Process Overview
Our import feature is designed to scale, supporting everything from a single form to thousands at once.
Download the Sample Import File
- Visit our Download Import Samples page
- Select the appropriate tax year and form type
- The sample file will download as an Excel (.xlsx) file
- Open the sample file to see the column headers and example data
Note: The sample file contains pre-populated example data to help you understand the expected format. You'll need to replace this data with your actual information. The sample import file is also available when going through the import process later if you need it.
Prepare Your Excel Data
- Use the downloaded sample file as a reference for column names and data format
- Ensure all required fields have valid data
- Check that dates are in the correct format (MM/DD/YYYY)
- Verify that dollar amounts are numeric
- Ensure TINs (Tax Identification Numbers) are properly formatted:
- 999999999 (9 digits, unknown type)
- 99-9999999 (EIN format)
- 999-99-9999 (SSN format)
- Each row represents one form/recipient
Tip: If you are starting with your own spreadsheet, you can copy the column headers from the sample file to ensure they match exactly. Column headers are case-insensitive, but spelling must be accurate.
Warning: Do not include any blank rows between your data rows. Remove all formatting, formulas, and extra columns that aren't needed for the import.
Navigate to the Import Page and Select Form Type
- Log into your EFileForMe account
- Click on "Import" in the top menu
- On the Import List page, click the "Create New Import" button
- Browse through the form categories organized by tax year
- Select the appropriate form type (e.g., 1099-NEC, 1099-MISC, W-2, 1095-C, etc.)
- Click on the form name to proceed to the next step
Note: You must be logged in to access the import feature. If you don't have an account, sign up here.
Tip: Make sure to select the correct tax year and form type.
Upload Your File
- On the "New Import" page, click the "Select a File to Import" button
- Browse and select your prepared Excel file (.xlsx, .xls, or .csv)
- Optionally, enter a label to identify this import (e.g., "Q4 Contractors")
- Select a Filer from the dropdown, or choose to load filer information from the import file
- Click the "Upload" button
Note: File uploads may take a few moments depending on file size. Files with thousands of records may take longer to process.
Map Your Columns to Form Fields
- You'll see your Excel column headers listed on the left side of the screen
- The form template is displayed on the right with drop zones for each field
- Option 1 - Auto Map: Click the "Auto Map" button to automatically match columns to fields based on column names. This is the best option if you're starting with our sample import file.
- Option 2 - Manual Map: Drag and drop each column header from the left onto the corresponding field on the form. This is the best option if you're starting with your own spreadsheet and are comfortable mapping headers to tax form boxes.
- Mapped fields will turn purple to indicate successful mapping
- Unmapped columns will remain in the left panel
Tip: If you used the exact column names from the sample file, Auto Map should match all fields correctly.
Note: Not all columns need to be mapped. Only map the fields that contain data you want to import. You can click "Clear All Fields" to start over if needed.
Start the Import and Review Results
- Once you've mapped all necessary fields, click the "Start Import" button
- The system will process your data and create forms based on your mappings

Review the import log to see the results:
- Number of forms successfully created
- Any errors or warnings encountered
- Details about which rows had issues
- If the import is successful, click "View Imported Forms" to see your forms
- If there were errors, correct the issues in your Excel file and create a new import
Tip: After importing, review a few forms to ensure the data was imported correctly before proceeding to checkout and submission.
Common Import Issues & Solutions
Troubleshooting tips for the most common import problems
File Format Error
Issue: "File type not supported" error
Solution: Ensure your file is saved as an Excel (.xlsx, .xls) or CSV (.csv) file. These are the supported formats.
Missing Required Fields
Issue: "Required field cannot be empty" errors
Solution: Ensure every row has data in all required columns. Common required fields include:
- Recipient: First and last name (or company name in last name field), TIN, address line 1, city, state, and ZIP
- Filer: First and last name (or company name in first name field), address line 1, city, state, ZIP, and phone
- Amounts: Most forms require at least one dollar amount field
Invalid Data Format
Issue: "Invalid format" for dates, TINs, or amounts
Solution:
- Dates: Use MM/DD/YYYY format
- TINs: 999999999 (unknown type), 99-9999999 (EIN), or 999-99-9999 (SSN)
- Amounts: Numbers (dollar signs and commas are acceptable)
Columns Not Mapping
Issue: Auto Map doesn't match your columns
Solution: Use manual mapping by dragging columns to fields. Check for typos in your column headers or extra spaces.
Partial Import Success
Issue: Some rows imported, others failed
Solution: Review the import log for specific error messages. Export the failed rows, correct the issues, and create a new import for those records.
Import Taking Too Long
Issue: Upload or processing seems stuck
Solution: Large files (10000+ records) may take several minutes. Wait for the process to complete. If it exceeds 10 minutes, contact support.
Best Practices for Importing
Follow these guidelines for smooth, error-free imports
Test with Small Files First
Before importing thousands of records, test with a small file (5-10 rows) to ensure your data format is correct and fields map properly.
Use Consistent Column Names
Keep the same column headers across all your import files. This makes future imports faster since you can reuse the same mapping.
Clean Your Data
Remove extra formatting, hidden characters, and formulas from your Excel file. Use "Paste Values" to eliminate formulas before importing.
Validate Before Upload
Review your data in Excel before uploading. Check for completeness, format consistency, and accuracy of TINs and amounts.
Keep Backup Copies
Save a copy of your original import file. This helps if you need to make corrections or reimport the data.
Label Your Imports
Use descriptive labels for each import (e.g., "Q4 1099-NEC Contractors") to easily identify them later in your import list.
